Cancellation letter after a death

A plan in the name of someone who has died needs to be ended with each company. This letter is written by a next of kin or the executor, and it asks the company to end the plan and stop further charges.

Pick the company, add your own name and address, and the letter writes itself below. The paragraph after the opening names the account holder and the date of death, so the company can find the account. A short, clear letter is enough.

Send it by certified mail for me

Next you find your company, then we take it from there.

Before you send it

  1. Gather what the company will need

Collect the account holder’s full name, the account or membership number, the billing address and the email on the account. A recent bill or statement usually shows the number.

  2. Prepare copies of your papers

Make a copy of the death certificate. If you act as executor, add a copy of the papers that show your authority. Send copies and keep the originals.

  3. Send it by Certified Mail

USPS describes Certified Mail as the way to get proof that you mailed something on a specific date and to track its arrival. Keep the receipt and the tracking number with your copy of the letter.

  4. Check the statements afterwards

Look at the card or bank statements the plan was paid from for charges after the end date. If one appears, write to the company with the date your letter was delivered and ask for it to be returned.

How to send it so you can prove it was received

  1. Print the letter and sign it

Use the print button on the tool. Sign above your printed name and keep a copy for your files.

  2. Send it by Certified Mail

Buy Certified Mail at a Post Office and ask for the postmarked mailing receipt. Add Return Receipt to get the signature of the person who accepts it.

  3. Keep the receipt and the tracking number

Write the date and tracking number on your copy of the letter. Check the tracking until it shows delivered.

  4. Note the company’s notice rule

Some companies need notice a set number of days before the next billing date. Allow for delivery time: the company may count from the day the letter arrives, not the day you posted it.

Prefer not to queue at the Post Office? We print the letter, mail it by certified mail and confirm when it is delivered.

Cancellation letter questions

Who can send this letter?

A next of kin or the executor of the estate. The company may ask how you are connected to the account holder, so the letter names your relationship and offers a death certificate and proof of your authority on request.

What should I send with the letter?

A copy of the death certificate, and papers that show you act for the estate if you are the executor. Add the account number if you have it. Send copies and keep the originals.

Will the company refund payments made after the death?

The letter asks the company to end the plan and stop further charges. A refund depends on the agreement and the company’s own policy. If a charge appears after the end date, write back with the date your letter was delivered and ask for it to be returned.
