Cancellation letter when you are moving
You are relocating and the plan does not follow you. A move can end a health club agreement: New York and California both name it in their health club laws. This letter tells the company you are moving and asks it to end the plan.
Pick your company, add your details and the letter writes itself below. If your agreement or your state’s law sets a distance or asks for proof of the move, the steps under the tool show where to look.

Check your agreement for a moving clause
Look for the words move, relocation or distance. A moving clause may name how far from the club you must move and what proof the company can ask for.
Know what two state laws say
New York General Business Law section 624 lets a health club buyer cancel after the first three business days if they move their residence more than twenty-five miles from a club the seller operates, and the seller may require reasonable evidence. California Civil Code section 1812.89 requires a health studio contract to say that a person who moves further than 25 miles and cannot transfer to a comparable facility is relieved of paying for services after the move, though a contract may instead set a fixed fee capped in the statute.
Give the new city and the moving date
The letter has fields for both. Attach proof only if the company asks for it, and keep a copy of whatever you send. In New York, the seller may keep its expenses and the value of the services you used, and refunds are due within ten business days of the notice.
Send it so you can prove the date
New York requires health clubs to accept cancellation by website, email, telephone, mail or in person. A mailed letter still gives you a dated record: send it by Certified Mail and keep the receipt and tracking number.

How to send it so you can prove it was received
Print the letter and sign it
Use the print button on the tool. Sign above your printed name and keep a copy for your files.
Send it by Certified Mail
Buy Certified Mail at a Post Office and ask for the postmarked mailing receipt. Add Return Receipt to get the signature of the person who accepts it.
Keep the receipt and the tracking number
Write the date and tracking number on your copy of the letter. Check the tracking until it shows delivered.
Note the company’s notice rule
Some companies need notice a set number of days before the next billing date. Allow for delivery time: the company may count from the day the letter arrives, not the day you posted it.
Prefer not to queue at the Post Office? We print the letter, mail it by certified mail and confirm when it is delivered.
