How to send certified mail online

USPS sells Certified Mail only at a Post Office counter, so sending certified mail online means using a service that does the counter work for you. It writes the letter, prints it, puts it in an envelope, mails it by Certified Mail and tracks it, then sends you the proof. That is what Postbye does for a cancellation letter to any company you want to leave. Whichever service you use, check that you get an article number you can look up on USPS, a delivery record, and a copy of the exact letter that went out.

What certified mail is

Certified Mail is an extra service you add to a First-Class Mail or Priority Mail item. It gives you a postmarked receipt that shows when you mailed the letter, and a delivery record that shows when it was delivered or that a delivery attempt was made. It is not a type of envelope or a different kind of postage. It is a record attached to an ordinary letter. Our guide on what certified mail is explains each part, and certified mail for cancellations covers what the records prove when you leave a membership or subscription.

Why USPS sells it at the Post Office counter

Certified Mail is a fee-based extra service sold at a Post Office. You hand the item to a postal employee, who gives you a postmarked sender's receipt. That receipt is your proof of mailing, and it matters because USPS keeps no mailing records for extra-service pieces other than Registered Mail and COD. If you lose the receipt, there is nothing to ask USPS for afterwards.

Certified Mail at the counter

  • Certified Mail is an extra service for First-Class Mail and Priority Mail.
  • You buy it at a Post Office and hand the item to a postal employee to get the postmarked receipt.
  • It shows proof of mailing and a delivery record, either the delivery or an attempted delivery.

The same applies to Return Receipt. The Electronic Return Receipt cannot be bought through USPS.com. It is bought at a Post Office at the time of mailing, and you then enter the article number in USPS Tracking with an email address so the signature arrives by email. Our guide on certified mail with a return receipt goes through both versions.

Electronic Return Receipt

  • Bought at a Post Office when you mail the item, not on USPS.com.
  • You then enter the article number in USPS Tracking with an email address, and the recipient's signature arrives by email.

There is no way to buy the postal service itself from a website. When a website offers to send certified mail for you, the work still ends at a postal counter or in the postal system. What you are paying for is everything around it.

What sending certified mail online means

When people search for how to send certified mail online, they usually mean this: they would like to start from a screen instead of a printer, an envelope and a queue. A mailing service that offers it does the physical steps on your behalf.

  • It writes the letter, or prints the one you wrote.
  • It prints the letter on paper and puts it in an envelope with the right address.
  • It mails the envelope by Certified Mail, with the postmarked receipt.
  • It tracks the letter by its article number until it is delivered.
  • It sends you the proof, so you hold the records instead of a stranger's filing cabinet.

That is the whole idea. What you save is the trip, the formatting and the risk of getting a detail wrong. For a cancellation letter that last part matters, because a letter sent to the wrong address, or without the account details, may not reach the person who can act on it.

Sending certified mail online does not change what USPS records. It changes who walks to the counter and who keeps the paperwork in order.

How Postbye sends it

Postbye is built for one job: ending a membership or subscription by formal letter. We do this for any company you want to leave, whether it is a gym, a phone provider, a magazine or an app that bills you every month. The process has four steps.

  1. You pick the company

Choose the company from our list of companies or enter the name and address of one that is not listed, and add your account details.

  2. We write the formal letter

We write a clear cancellation letter that names the account, states the cancellation date you want and asks for written confirmation. Our cancellation letter template shows what a good one contains.

  3. We mail it by certified mail the next business day

We print the letter, put it in an envelope and mail it by Certified Mail on the next business day.

  4. We send you the delivery proof

You receive the article number, the tracking record and the delivery proof once the letter arrives, together with a copy of the letter that went out.

The full walkthrough is on the how it works page. If you want to write the letter yourself and only need it mailed, our guide on how to write a cancellation letter is a good place to start.

What to check in any online certified mail service

Not every service that says it sends certified mail gives you the same records. Before you use one, check three things.

  • An article number you can look up. You should be able to enter it at usps.com or call 1-800-222-1811 and see the same status the service shows you. Certified Mail counts as a trackable extra service, so a real article number always works.
  • Delivery proof. The service should send you the delivery record, meaning the date of delivery or the attempted delivery, and say clearly what it is. If you need the recipient's signature, ask whether Return Receipt is included.
  • A copy of the letter. The delivery record shows that an envelope arrived, not what was inside it. A copy of the exact letter, with the article number and mailing date, is what ties the two together.

Tracking by article number

  • Certified Mail provides a mailing receipt and, on request, electronic verification that the article was delivered or that a delivery attempt was made.
  • Return Receipt adds the recipient's signature and the delivery details.

How long it takes

Certified Mail rides on top of the mail class underneath it. First-Class Mail letters travel 1 to 5 days, and a rectangular letter of 1 ounce or less takes standard letter postage. So the realistic timeline is one business day for the service to mail the letter, then 1 to 5 days in the mail, then delivery.

If your contract has a notice period, count from the date that matters under its terms and leave a margin. The cancellation deadline calculator works out the last safe day to post the letter. The USPS page on proof of mailing and delivery explains how postmarks and tracking history are kept, and our guide on certified mail cost breaks down what each extra service adds.

When the counter is still the right choice

If one Post Office visit is easy for you and you already have the letter written and addressed, you can send it yourself. Ask for Certified Mail, with Return Receipt if you want the signature, and hand it to the employee so you get the postmarked receipt. Keep the receipt with a signed copy of the letter.

If you would rather not print, address, queue and keep track of the paperwork, a service that does it all and sends you the proof is the practical route. Either way, the test is the same: you should end up holding an article number, a delivery record and a copy of the letter.
